Manager  Corporate  Events and Facilities  to join our team in our corporate office environment located in Winnipeg, Manitoba, Canada.
Event Management and coordination best practices will drive this dynamic, fast-paced position, which offers a unique leadership position for a seasoned industry professional.  General Summary: We are seeking a Manager  Corporate  Events and Facilities  to manage a comprehensive book of business revolving around the distribution of rental related products at a select series of events as well as select contract relationships at various convention facilities.
Manager  Corporate  Events and Facilities  Responsible for the development and management of the Company’s event forecasting and planning operations. S/he is responsible for maximizing channel sales, gross margin and inventory turns through effective assortment, sales and inventory planning. The Supervisor will oversee the global planning functions to ensure equipment purchasing recommendations to achieve channel revenue and turn goals. Additionally, this person is in charge of managing end of season residual inventory levels and coordination of cross channel liquidation strategies that maximize sales and gross margin objectives. Lastly, s/he should recommend and assist in the implementation of systems solutions that will enhance inventory planning. As  Manager  Corporate  Events and Facilities  , you will be responsible for managing the total supply chain for one of the company's rapidly growing equipment inventory requirements through rental and retail programs. You will have overall accountability for capacity planning, various locations inventory, and territory representative relations. You will work closely with Convention Sales Department to link forecasts to purchasing and inventory management as well as inventory transportation logistics. You will further be responsible for identifying areas for cost reductions and implement strategies for cost reduction and containment.


Essential Job Functions: Overall Responsibilities

·         Work with Senior Management to best deliver departmental annual revenue objectives

·         Primary customer contact for event management - responsible for customer retention.

·         Support the management of the customer relationship including tracking all types of information on accounts, notes, events, incidents and customer satisfaction.

·         Capture and maintain a variety of file information on customers and events from previous years (contacts, addresses, territory, special needs, demographic profile, accounting files, cost benefits etc.

·         Track all interaction with customers including notes from conversations, emails, quotes, invoices, payments and incident reports as well as other applicable interactions

·         Effectively share account information with other users to produce the most beneficial and controlled event.

·         Maintain accurate records on how much business is done with each customer, including profitability, ease of business transactions, customer requirements and objectives from both the customer and corporate perspective.

·         Prepare timely cost benefit analyses on events for departmental decision related to the shipping of scooters, event personnel, logistics, etc. for each project opportunity.

·         Manage the process of renting equipment for events including On Site Rentals (OSR), Attendee Reservations (AR) and fleet orders, as well as value added services such as intra-venue shuttle services, assistive seating services

.·         Facilitate open communication between all resources involved in event management including Accounting, Inventory and Logistics, the Call Center, External Suppliers, Territory Representatives and the Client.

·         Support sales and marketing efforts by managing information on events, customers providers, equipment and prospects

.·         Define each event as a "Project" capturing all activity and documents related to the event in one central file designated by a "project" number.  Within the numbered file all correspondence, purchase orders, work orders, vendor orders, change orders, invoices, credit memos and notes should be maintained.  Each "project" file should begin with the customer information and cost benefit for the project

.·         When required secure quotes form vendors for product, labor and transportation.

·         Communicate the forecasted event demand to all appropriate individuals including Territory Representatives, Senior Management and Suppliers.

·         Handle incidents that may occur at an event and the subsequent outcome (additional billing, refunds, repairs etc.)·         Post event customer follow-up to assess customer satisfaction and propose / quote on subsequent events.

·         Propose and secure long term agreements with current customers to "lock in" future events.

·         Evaluate completed accounts from a strategic perspective going forward.

 Oversee Inventory Management1)     Management of inventory and inventory control procedures and implementation of standard procedures as by the Territory Representative.2)     Direct supervision and hands on involvement for all cycle counts. To identify and resolve root causes of inventory discrepancies, make necessary inventory adjustments, and produce metrics to track inventory accuracy. 3)     Identify and resolve location discrepancies relating to shortages, overages, receiving errors, damages, incorrect item in location and document findings in the internal operator error tracking database. 4)     Maintain records of global monthly stock and receipt plans that maximize sale and minimize residual inventory using appropriate turn levels and stock to sales ratios 5)     Optimize cross channel inventory levels through effective inventory transfers 6)     You will also report to the Operations Manager and Special Activities Department weekly on shipments progress and develop methods of improvement for a stream-line process. 7)     .Process and distribute various daily reports and take appropriate action. 8)     Manage the on hold equipment inventory list. 9)     Maintain Master Inventory Records (additions, deletions, transfers)10)  Gathers, enters, and/or updates data to maintain inventory records and databases, as appropriate; establishes and maintains files and records for the office. 11)  Manage and guide channels planned residual levels of equipment inventory and maintain strategy for ongoing usage.12)  Monitors and coordinates related accounting activities as appropriate working with the accounting department, and prepares internal reports for management; participates in budget planning and management, as required. 13)  Composes and prepares written documentation and correspondence for the office inventory reporting; screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate 

Service and Maintenance1)     Monitor service records for ongoing equipment maintenance program2)     Liaise with Territory Representatives – damage reports, service issues3)     Order parts for owned scooters as required on a cost effective basis.4)     Be instrumental in launching nation wide identification program for all inventory5)     Insure that immediate steps are taken to understand, correct, and maintain performance standards within all company guidelines. 6)       Communicate new or revised programs, product information, and proposed organizational strategies to enable all personnel to deliver outstanding customer service consistent with Scootaround expectations. 7)       Work with Operations Manager to define requirements for operations and ensure that the implementation of new strategies and initiatives to effectively meet or exceed these requirements as well as customer expectations are adopted. 8)     Maintain understanding and provide clear, concise communication of processes, policies, promotions, products, and services offered. 

Logistics1)     Reconcile all transportation arrangements for the movement of scooters for Conventions/Events through contact with logistics companies, service providers, and territory representatives.2)     Assists with project and event / convention development and planning to ensure more efficient service and organization. 3)     Liaise with Special Activities /Planning as central contact for equipment inventory requirements and deployment.4)     Assists in the coordination, supervision, and completion of Scootaround special projects as appropriate. 5)     May supervise personnel in the related area which may include recommendations for hiring, performance evaluation, training, work allocation, and problem resolution. 6)     Review manufacturer product strengths and weaknesses  

Other Responsibilities1)     Enhances professional growth and development through participation in educational programs, current literature, in-service meetings, and workshops. 2)     Performs miscellaneous job-related duties as assigned. 3)     Create / contribute / foster a work environment of accountability 4)     Be an active participant in weekly team meetings 5)     Be receptive / be an agent to change 6)     Promote employee morale 7)     Work with the COO to understand company and sales channel fiscal budgets 8)     Work with Management to maintain records for and to understand sales Channel specific retail sales plans and opportunities and inventory requirements.9)     Share product selling and trends with Sales Channel personnel. Assist in cross channel equipment selling strategies that achieve sales objectives for equipment inventory to maximize gross margin. 10)  Analyze top down channel sales and inventory patterns 11)  Calculate trends for future business periods   

Service Provider/ Territory Representative 1)     Maintain Records on all suppliers, territory representatives, providers.2)     Maintain records of agreements, correspondence, pricing3)     Maintain update of database for pricing, delivery parameters4)     Act as first point of contact for third party provider base (Tier 3) and territory representatives.5)     Maintain weekly update with territory representatives and provide a report there of. Reports to management on all ongoing progress, exceptions through regular reporting.6)     Submit information, applications, as required, to identified providers /suppliers /territory representatives.7)     Explain program requirements, monitor performance of all related suppliers /providers / territory representatives.8)     Develop a strong working relationship with territory representatives to ensure the most efficient response to inventory delivery problems / the need for increased quantities etc. 9)     Assist with identifying third party supplier prospects10)  Assist with program improvements /efficiencies to existing base11)  Prepare and forward initial “package” (Shirts, identification decals, forms, brochures, liability forms, scooter instructions, etc.) as required.12)  Respond to and resolve escalated customer service /territory representative /provider issues.13)  Ensure all required media is submitted on ongoing basis14)  Special projects as assigned.   

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Knowledge of supplies, equipment, and/or services ordering and inventory control. 5+ years inventory management and planning experience
  • Records maintenance skills.
  • You must be well organized, accurate, pay attention to detail, adapt to fast-paced environment and also posses a driver’s license and provide your own transportation
  • Information research, organizing and coordinating skills.
  • Word processing and/or data entry skills.
  • Knowledge of current and emerging trends in technologies, techniques, issues, and approaches in area of expertise.
  • Excellent personnel management skills and database management skills.
  • Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues.
  • Strong grammar, organizational , decision-making , analytical and problem-solving skills
  • Proven relationship management skills with staff and client
  • Ability to manage multiple projects while maintaining leadership responsibilities
  • Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections.

 QUALIFICATIONS:
  • High school diploma and at least 5 years of experience that is directly related to the duties and responsibilities specified.
  • BS/BA preferred; experience in Logistics Management, Supply Chain Management or Business Management as well as an Accounting experience or designation would be an asset.
  • Windows/PC, Excel, PowerPoint (familiarity with inventory management software and data base software considered an asset.)
  • In field merchandising experience in understanding product lines, customer preferences and competition to develop inventory plans and forecast
  • Experience in leading development and implementation of product trend forecasting
  • Experience managing multi-channel inventory planning and requirements (Outdoor Industry, Convention, Hotel delivery, Internet, Catalog, Retail)
