Administration And Marketing Coordinator

Sold Out Performance Inc is a management company that provides office and marketing support to a team of realtors. Our team provides a superior level of service and education to our clients to assist them through the property buying and selling processes.

As a valuable member of the office, the Administration and Conveyancing Desk is responsible for providing client and team support services. We are a small team, and each member wears many hats. Flexibility in daily tasks and readiness to help out other departments is essential. Experience in an office, including email systems, e-filing, data entry and Microsoft Office Suite is essential. Experience in document drafting, copywriting for marketing, and experience with Adobe Indesign are considered very desirable assets.

Summary of Responsibilities

Responsibilities and job functions include but are not limited to:

  • Answer multi-line system, taking messages, paging, lead management etc

  • Responsible for written communications (emails, letters, etc)

  • Enter property listing data into MLS

  • Basic transaction conveyancing (review of documents, verification of info, copies & filing, disbursement of files, monitoring deadlines, draft legal forms, client support and communication facilitation etc)

  • Client Base/Contact Systems Management

  • Prepare marketing materials (newsletters, information sheets, etc.,) and manage web presence (Facebook, SquareSpace site)

Key skills we require from a successful applicant are:

  • Aptitude with computers & software

  • Interpersonal & customer service skills

  • Organization & time management

  • Familiarity with office equipment, multi-line telephone systems, etc

  • Patient; demonstrates good judgement & attention to details

  • Prioritization of constantly changing demands; able to work in both slow and fast paced environments; able to meet tight deadlines

  • Database & file management

  • Adaptability & the ability to learn quickly

Summary of Qualifications

The ideal candidate will posses the following qualifications:

  • Adobe InDesign & PhotoShop

  • One plus years experience in an office environment

  • Completion of high school, some college/university/technical training

  • Microsoft Office Suite including some familiarity with Excel

  • Gmail & G-Suite including Google Drive
